What Is This Automation?

This automation allows you to add a specific group of contacts to a campaign or course in ConveYour. Whether you need to schedule mandatory training, enroll new hires, or segment learners based on attributes, this feature ensures that participants are added at the right time and with the right settings.

Step-by-Step Guide

1. Start the Automation

  1. Navigate to Automations in ConveYour.ConveYour's automations menu. Empty.

  2. Click New in the top-right corner of the Automations panel.

  3. Select Create for Add to Campaign.ConveYour's Add to Campaign option.

  4. Name the automation (e.g., "Add Southwest Region to Training").

  5. Select the Group you want to enroll.

    • If the group doesn’t exist, click Create New Group.

2. Create a Group (If Needed)

  1. Name the Group (e.g., Southwest Region).

  2. Set the Group condition (e.g., Tags / is / Southwest).

  3. Click Save to confirm.

3. Set Timing Options

  1. Choose when the automation should run.

  2. Select the time zone to ensure messages are sent at an appropriate hour.

  3. Decide whether to:

    • Run the automation once for a single batch of contacts.

    • Run the automation continuously for new contacts that meet the conditions.

  • A one-time automation might be used for a scheduled course launch.

  • An ongoing automation can automatically add new employees to compliance training as they join the company.

4. Select the Campaign and Configure Messaging

  1. Choose the Campaign or Course that the Group should be added to.

  2. (Optional) Customize the welcome message:

    • Set up a custom SMS, email, or both.

    • Leave blank if the campaign already has a welcome message.

  3. (Optional) Reset the campaign progress for all in the group if needed.The

5. Enable Silent Enrollment (If Needed)

  • Use “Disable all campaign confirmations” if you want to enroll participants without notifications.

  • This is useful when:

    • Enrolling employees before announcing the training.

    • Setting up an event-based campaign where participants will receive instructions later.

6. Review & Launch

  1. Click Review in the top-right of the Automations panel.

  2. Verify:

    • The scheduled actions.

    • The timing and selected contacts.

  3. Click Launch if everything looks correct.

  4. If changes are needed, click Back to edit the draft.

Best Practices

  • Use meaningful group attributes (e.g., tags or regions) to ensure the right contacts are enrolled.

  • Test automations with a small sample before launching to a larger group.

  • Schedule automations carefully to avoid sending messages at inconvenient times.
