Archiving and Restoring Contacts & User Profiles

Managing contact and user data in ConveYour is simple. You can archive (soft delete) contacts to remove them from active lists while keeping their data intact, or permanently delete them if necessary. This guide covers how to archive, restore, or delete contacts and user profiles.

Why Archive Instead of Delete?

We strongly recommend archiving contacts rather than deleting them.

  • Archiving hides a contact from the main Contacts tab but preserves their data. You can restore them at any time. Both users and contacts can be archived.

  • Deleting permanently removes contacts from your system. This action cannot be undone. User profiles CANNOT be deleted, only archived.

Viewing Archived Contacts

  • To access archived contacts, go to Main Menu > Contacts > Archived in your account.

Restoring Archived Contacts

  • Click on an archived contact’s profile and select Reinstate to restore them to the main contacts list.

  • Archived user profiles can also be reinstated at any time under Main Menu > Settings > Archived Users.

Key Differences: Archive vs. Delete

  • Archive Contacts: This option hides contacts from the main view while keeping their data accessible for future use. You can reinstate them at any time.

  • Delete Contacts: Permanently removes contacts from your system. Once deleted, contacts cannot be reinstated or retrieved.

Archiving or Deleting Contacts

Option 1: Archive or Deleting Individual Contacts

  1. Navigate to Main Menu > Contacts.

  2. Select the individual contact that you want to archive.

  3. Open the contact's menu (three dots) and click Archive or Delete.Archiving a ConveYour Contact

Option 2: Archiving or Deleting Groups Of Contacts With Automation

  1. Navigate to Main Menu > Automations.

  2. Click the New Automation button in the top-right corner.

  3. Find the Remove/Archive Contact Automation and click Create.

  4. Select the ConveYour Group that you want to Archive or Delete.

  5. Choose to either Delete Contacts Completely or Archive Contacts.

  6. Set your automation timing.

    • Select a date/time for the automation to start running.

    • Set whether you want this to be a one-time automation, or apply when any contacts are added to the selected Group.

  7. Review your selections, and click Launch to start the automation.

Restoring Archived Contacts

To restore an archived contact in ConveYour:

  1. Navigate to Main Menu > Contacts > Archived.

  2. Find and select the contact you want to restore.

Archiving & Restoring a User Profile

Archiving a User Profile

  1. Navigate to Main Menu > Settings > Users and select the user you want to archive.

  2. Scroll to the bottom of their profile and click Delete User.

  3. IMPORTANT: A pop-up will prompt you to select an Admin to transfer ownership of any assigned records.

  4. Click Delete to confirm.

Note that despite the "delete" terminology, Users cannot be fully deleted like contacts can - they will be added to Archived Users and can be restored if needed.

Restoring an Archived User Profile

  1. Navigate to Settings > Users > Archived Users.

  2. Find the user profile you want to restore.

  3. Click the Restore icon next to their name.

  4. The user will receive an email prompting them to log in. Once they do, their profile will reappear in Users.
